I LOVED MY VIRTUAL ASSISTANT SO MUCH WE STARTED A BUSINESS TOGETHER
When I began working with my assistant, I immediately felt like I had a team member I could trust. Maggie quickly showed me that she cared just as much as I did about my well-being and my success. In our initial interview together, she told me that her main focus would be to make my life easier while helping me secure success for years to come. We discussed the first couple of tasks that I was scared to let go of but needed to be taken off of my shoulders to more wholeheartedly focus on the priority of helping my clients recover. We discussed how she would handle my scheduling, respond to incoming calls, set up a voicemail for my clients, collaboratively we created best practices for communication. Maggie showed me how to assign and prioritize tasks.
To my surprise Maggie came to me with a host of knowledge about private practice, simplifying communication, business, and marketing goal setting strategies, how to prioritize and track time spent on projects and how to collect and analyze data on referral sources. Maggie came equipped with tools, protocols, and obtained a ton of information about me, my specializations, my goals, and my ideal clients. The first week Maggie worked for me, she was able to secure three new private pay clients! She offered to look-up their out-of-network benefits and offered to send super-bills to their insurance companies on their behalf. She was always two steps ahead of me anticipating my needs.
My caseload began to look like everything I hoped it would. I began to feel re-energized by my work. My clients began to enjoy that my practice would go the extra mile for them so they could obtain the care they truly wanted. Everything just seemed to click between us, our vision, our creativity, and a shared deep understanding and compassion for working with trauma survivors. Then I began to fear what would happen to me and my practice if I ever lost her. We explored more deeply the idea of creating a team of assistants based on a therapeutic clinical training model that would allow other therapists and clients access to the gifts of efficiency, trust, safety, choice, productivity, and success. We spent time perfecting our procedure manual, researched top difficulties in private practice for clinicians, developed a trauma-informed training module for all of our assistants.
We understood that it was crucial to provide the highest standard of clinical care to clinicians and their clients by creating practices that guaranteed trusted professionalism, a passion for healing, empathy, and an energetic and warm-hearted presence. We focused on providing our assistants training that emphasized securing a personable relationship with clinicians and their clients to uphold the values of safety, trust, and collaboration. We began implementing trauma-informed care training to our staff. While I focused on the clinical needs part of the business, Maggie set out to expand her knowledge on marketing, insurance verification, team productivity and efficiency building, best practices for onboarding and training new assistants, building HIPAA training programs for staff and understanding the ins and outs of HIPAA compliance regulations, developing organization and motivation strategies, and obtaining knowledge for marketing and advertising through pursuing advanced certifications.
